英語のメールを打つ場合に、私たち日本人にとって迷ってしまうのが、

これが英語のネイティブスピーカーにとって違和感を与えないか

どうかです。

日本で英語を学習していると、実際のネイティブスピーカーの英語メール

がどのようなものか気になるところです。

そこで今回は、ネイティブイングリッシュスピーカーのビジネス英語

メールがどのようなものなのか、そしてどのような書き方が自然な

英語メールなのかについて紹介してみたいと思います。

英語メールの基本

ビジネスメールの基本フォーマットは、次の通りです。

1. 件名

2. 宛名

3. 挨拶とメールの趣旨

4. 詳細

5. アクションリクエスト

6. クロージング

件名はメールの内容を明確に

「 件名」では、何についてのメールなのかを明確にしましょう。

“Hello.”のように一般的なものだと、好ましくありません。

もしかすると、「スパムメールなのでは?」と疑われて、読まずに

捨てられてしまうかもしれません。

“Budget planning timeline”

“Sales presentation preparation”

のように、明確な内容にしましょう。

また、件名の最初でどのような種類のメールなのかを示し、

その後にコロンをつけて続けるのも有効です。

例えば、“Request:” “Question:” “Information:”などとすれば、

メールの目的が一目瞭然です。

“Time Sensitive Request”(時間的制約のあるお願い)

や“Important question”(重要な質問)のように、

importantやtime sensitiveなどの形容詞を先頭につけることもできます。

ただし、あまり使い過ぎないようにすることも大事です。

先ず大事なのは宛名の書き方

メールの本文の最初にはまず宛名を書きます。

宛名の基本形は「Dear 名前,」ですが、ご存じのように

「Dear」は日本語に無理やり訳すと「親愛なる」ですが、

手紙やメールを書く場合に宛名の前に書く礼儀的な文言です。

宛名は相手との親密度によって使い分けます。

よく知らない人にメールを送るときや、よりフォーマルなメールの場合は、

“Dear Mr. Williams”などのように、Dearに続いて、Mr.またはMs.と

相手のラストネーム(姓)を続けるのが最も適切です。

それほどフォーマルではないメールや、親しい人へのメールでは、

“Hello Alice”のように、Helloの後に相手のファーストネーム(名)

を続けるのが一般的です。

団体などにメールするとき、もし担当の人の名前がわからなかったら、

“To whom it may concern”あるいは“Dear Sir/Madam”が使えます。

ということで、知人や友人で、ファーストネームで呼び合う仲なら相手の

ファーストネーム(名前)を入れれば大丈夫です。

基本の例としては「Dear Bob,」で、複数の場合は「Dear Bob, Mike, and Jessica,」

として、このように、「and」で付け加えます。

多くの人に送る場合は「Dear All,」、または「Dear Everyone,」とすれば

ネイティブにとっても無難な言い回しです。「

男性の場合の宛名は

送る相手が男性の場合は、「Dear Mr. ラストネーム,」が基本で、

「Dear Mr. Jackson,」などとなります。

相手の名前も役職もわからない場合は、

「Dear Sir,(複数形はSirs)」とすれば無難です。

これはビジネスでよく使います。

女性の場合の「宛名」

女性の場合よく日本人にとって困るのが、相手が結婚しているのか

どうかによって使い分けをしないといけないかどうかです。

しかし、相手が女性の場合は、結婚Miss、Mrsの代わりに

「Dear Ms. ラストネーム,」となり、

例として「Dear Ms. Williams,」などとなります。

男性と同様に、名前も分からない場合は、「Dear Madam,」とします。

また、相手の性別がわからない場合は、「Dear Sir or Madam,」とすれば

無難なネイティブの言い回しとなります。

名前が分からないビジネスメールの「宛名」の場合

担当部署や担当者に送る時に、相手とは面識がなく担当者の名前が

わからない場合は担当部署名、役職を宛名に記載します。

下記がその例となります。

Dear Customer Service, / カスタマーサービス担当

Dear President, / 社長

Dear Sales Manager, / 販売(セールス)部長

Dear Factory Manager, / 工場長

特にビジネスメールの場合、書き出しで誰宛なのか、どの部署と

連絡を取りたいのかを明確にすることが重要なポイントと

なります

カジュアルな「宛名」の表現

上記はフォーマルな時の使いかたですが、カジュアル

な場合の宛名の書き方を説明します。

友達同士のメールの場合は簡単な書き出しで始める場合もあります。

「To ファーストネーム,」として、「To John,」など簡単に書きます。

「Dear」は少しかしこまった言い方なので、「To」を使って

「マイクへ」と宛名を書くのが一般的です。ある程度関係性ができている人のみで

上司やビジネスパートナーなどには使いません。

宛名を記載せず、簡単なあいさつから始める使い方

カジュアルな場合、これが一般的です。

例えば

Hello Tom, Hey James, Hi William,などをネイティブはよく

使います。

どの場合も、ファーストネームのみ使えます。ある程度仲がいい

友達に送る場合に使える書き出しです。

ネイティブの英語メール書き出しのポイントは

なんといっても英語のメールの書き出しは簡潔にすることが重要

です。

日本語と英語のメールの大きな違いがひとつあります。

ネイティブ英語ではとにかく「簡潔に用件を述べる」のが

暗黙のルールです。

日本語のメールでは、本題に入る前に「いつもお世話になっております」などの

丁寧な定型表現を入れます。英語のメールにはそのような決まり文句はありませんが、

すでに知っている相手の場合、本題の前にフレンドリーな一言を記すのが普通です。

例えば、しばらく連絡していない相手には、“I hope you have been doing well lately.”

といったことを書いた方が一般的です。

一方、頻繁にやり取りしている相手の場合、例えば週の最初に出すメールに

“I hope you had a good weekend!”といったことを書きます。

本題の前に相手への感謝を入れる場合もあります。例えば、自分の会社の

サービスについての問い合わせに返信する場合、“Thank you for contacting XYZ Company.”

などと入れます。

相手がすぐに返信をしてくれた場合には、“Thank you for your prompt reply.”、

“Thanks for getting back to me.”

と言います。

日本語の場合、あいさつや相手への気遣いなど比較的長く

書き出しを書きますが、英語の場合はあいさつをする場合はごく簡単に、

基本的にはすぐに本題に入ります。

日本人が書く文章はあれこれ気遣いを書きますが

そのような気遣いは英語のメールでは好まれません。

特にアメリカなど海外では「効率」や「時間」を大切にする文化が多く、

相手を気遣いつつもオブラートに包まず、相手に伝わりやすいような直接的

な表現で伝えるのが原則です。

I’m writing to you about…

(~についてメールしています)

I’m reaching out about…

(~についてご連絡しています)

Just to remind you about…

(~についてリマインドさせてください)

Let me confirm with you about…

(~について確認させてください)

I’m eager to get your advice on…

(~についてアドバイスをぜひいただきたいのですが)

自己紹介のメールの書き出し

お会いしたことがない人で、メールのやりとりも一度もしたことが

ない場合には、簡単な自己紹介をします。といっても、名前と部署や仕事など、

すごく簡単な一文だけで十分です。

下記がその例となります。

例)

  • My name is(I am) Yoshi Sato and work at ABC Company.
  • My name is(I am) Taro Sato and work at Customer Service of ABC Company.
  • My name is(I am) Taro Uehadra, a sales manager at ABC Company.
  • I was introduced you by Mr. Tanaka of our company.
  • I hope you do not mind my contacting you out of blue.
  • My name is Yoko Ito of the financial division at ABC Corporation.
  • I came across your website at www.example.com and found your new accounting service XXX very interesting.
  • I am Yukiko Tanaka from the marketing department.
  • I am writing to inform you that we’re planning to hold a sales meeting next week.

メールの目的を書き出しで明らかにすることが多いのが

英文メールの特徴です。

初めてのやり取りの場合、自己紹介を書いてその後に目的を伝えると

相手にも内容が伝わりやすくなります。

日本語では結論は最後ですが、英語の文は結論を先に述べます。

メールでもその原則は変わりません。

すでに繋がりの方へのメールの書き出し

その場合は軽い挨拶的なところから始まるのが

一般的です。

例)

  • It was good to talk with you over the phone last Monday.
  • I trust that you are keeping well.
  • I expect you are keeping well.
  • I hope you are well.
  • I hope you are doing well.

It’s great to hear from you.

Allow me to introduce myself.

As we discussed in our call…

初めての相手にはつながりを書く

まったく知らない相手からの初めてのメールを受け取った場合、

メールをもらったほうは「どうして?」「どこから私のことを知ったの?」と感じるものです。

このため、相手との接点がどこにあるのかを最初に書くことが、

最後まで読んでもらえるメールを書くことにつながります。

I am writing to you because I got your name through Mr.….

(~さんよりお名前を教えていただき、メールしております)

I was very impressed by the article you contributed to ….

(~に寄稿なさった記事を読み、とてもすばらしいと思いました)

相手への気づかいを入れる

知っている相手とのやりとりなら、「お礼」に続いて近況報告や、

相手への気づかいを入れると良いでしょう。難しい話をする必要はなく世間話で大丈夫です。

How did you enjoy your last business trip to Japan?

(先日の日本出張はいかがでしたか?)

I hope you enjoyed your weekend.

(楽しい週末を過ごされましたか?)

I hope you are feeling rested after the long weekend.

(3連休はよく休めましたか?)

目的を伝える書き出し

例)

  • We are interested in your products.
  • I have (some) question about your new product.
  • I’d like to ask some question about ~.
  • The reason why I’m writing you this email is ~.
  • I’m writing to inform you ~.
  • I’m emailing you because ~.
  • I am writing with reference to __.
  • Please be informed that __. / Please be advised that __.

As promised over the phone, I’d like to inform you

of the current situation regarding the paid holidays taken in our division.

I am writing you to inform that we have received the samples of your new line of products.

This is to inform you that we will be conducting our server maintenance

from 2am to 5am on October 1.

感謝のあいさつからの書き出し

  • Thank you very much for your e-mail.
  • Thank you for the reply.
  • Thank you very much for sending us the package.
  • Thank you very much for attending the conference held on last Monday.

他にもこのような言い方もできます。

  • Many thanks for your inquiry.
  • I really appreciate time you took to ~.

一度やり取りをしている方や、直近でお会いしている方の場合は

お礼や感謝で始めると自然な形で本題を伝えることができます。

お詫びの「メールの書き出し」

メールの返信が遅れたことをお詫びする場合や、その他不手際の

お詫びも書き出しでまずお詫びします。

返信が遅くなってしまった場合の例が下記となります。

  • We apologize for this late reply.
  • I am sorry to be late in answering your email.
  • I am sorry for my late reply as I was on summer vacation.

(カジュアルな場合)

  • Sorry for not replying sooner.
  • Sorry for my late reply.

お知らせの「メールの書き出し」

・We are happy to inform you that ~.

・It is our pleasure to inform you ~.

・We are sorry to inform you that ~.

・I regret to inform you that ~.

・This is to inform you that ~.

・I am sorry to inform you that our meeting will be postponed

until next Wednesday, because of the delayed arrival of the new sales adviser.

・I am sorry to have to inform you that the negotiations with XXX Corporation,

which we had been dealing with for the last 2 months, have broken off.

・We were unable to reach a mutual agreement due to some conflicts, especially

in the shareholding portion.

・I am afraid I won’t be able to attend the meeting this afternoon

due to an urgent business situation that I have to deal with.

This is just to let you know ~. / ~のお知らせです。

※just to let you knowは、重要なお知らせでなく「ちょっと~をお伝えしたく」

のニュアンスです。

This mail is to confirm ~. / ~をお知らせするメールです。

問い合わせメールの書き出し

  • I would like to enquire about the changes of regulation put in force in your city last month.
  • I am writing with reference to the current status of XXX Project.
  • We have a number of questions which we hope you will be able to answer.
  • I would be interested in finding out more about __.
  • I would be grateful if you would send me some information

on the new service you’re going to release in the next month.

来月リリースのサービスにつ、情報を頂けると有難いです。

  • I would really appreciate it if you could provide me with some information on __.

メールでお願い事をする時

相手の忙しさや都合に配慮する言葉を入れられると、好印象です。

・I understand you must be extremely busy at this time of the year,

but I would really appreciate it if you could __.

・Could/Would you please __?

・Would it be possible for you to change your vacation schedule

as I anticipate that we will be busy during that time?

・I’m wondering if you could help us by preparing the documents

that we have to file to the Ministry at the end of this month.

・I would be grateful if you would give me some advice

on developing our future business plan in the agricultural industry.

・I apologize for this short notice but I am wondering

if you could complete the AAA document before November 22?

・I am sorry to rush you, but could you please send us the strategic proposal

for developing our business in the South-East-Asia region, by next Monday morning?

・I don’t mean to hurry you, but I haven’t received the samples

that I asked you to send me by the end of the morning, yet.

貰ったメールへの返事

相手からの連絡を受けてのメールなので、with reference toや、

further toなど、「(頂いたメールの)~の件について」という表現が

重宝します。

  • Thank you very much for your email.
  • Thank you very much for your spontaneous reply.
  • I’m replying to your email dated November 23.
  1. With reference to your last email regarding the current situation 

with the XXX project in Dubai, I have some new information that may be of interest to you.

Further to your email, please be informed that we have now received the revised draft.

頂きましたメールにつきまして、ドラフトの修正版を受け取りましたので、お知らせします。

返事が遅れた時のお詫び

・Please accept my sincere apologies for the delay in replying to your email.

お礼のメール

お礼の英語メールの書き方互いに良い関係を築くため、

ほんの小さな事柄でも、感謝はその都度伝える

とメールの効果が上がります。

  • I am deeply grateful for __.
  • I would like to express my sincere thanks for your advice on the project.
  • I would like to take this opportunity to thank you for showing me around your office

on Monday. It was a very informative and productive visit for me.

  • I really appreciate that you took the time out to do so, in spite of your busy schedule.
  • Thank you for taking the time to see me this morning. It was great to exchange our views

and opinions on the circumstances surrounding our current business, and its future.

お祝いのメール

  • I am writing to send you my warmest congratulations on your promotion.
  • I wish you all the best for your new job.
    採用、おめでとうございます。
  • Congratulations on opening a new shop.
  • I’m very happy to hear that you will be appointed to be a senior advisor of XXX company.

お詫びのメールをするとき

  • I apologise for any inconvenience that this may cause.
  • I apologise for any inconvenience that this may have caused.

メール本件についてのポイント

日付や期限、質問や依頼などの重要な情報は、目立つように太字にしましょう。

要望がある場合は、明確な期限を設定しましょう。人によって解釈が異なる

可能性のある“as soon as possible”(できるだけ早く)

や“urgent”(緊急)などの言葉は避けましょう。

長い一連のメールに返信する場合、相手が過去すべてのメールを

読み返さなくてもいいように、本文で要点をまとめてください。

must,bad,stupid,no goodなど、きつい響きのある言葉は避ける

ことも必要です。

日本語のメールではお詫びの言葉をたくさん入れるのが一般的ですが、

英語のメールでは多用し過ぎると違和感があります。特に、日本語の

「突然のご連絡で申し訳ありません」に相当する英語の言いまわしはなく、

それを英語で書こうとするととても妙な感じになりますので、避けた方がいいでしょう。

メールに添付書類を付ける場合

ビジネスメールへの書類や画像の添付は、とても一般的です。

添付書類の説明は、下記のような表現で行います。

  • I have attached the draft.
  • I’m attaching the photo of the building for your reference.
  • Attached is a copy of the agreement.
  • Please find attached a copy of the report.
  • Please see attached.
  • The draft of the agreement is as attached.
  • Attached, please find a copy of the document

英語ネイティブがメールを受け取ったとしても、違和感のない
